What makes an event venue the right choice for your gathering?
Before we look at the situations where InnStyle isn't a good fit, it's worth taking a moment to consider what a good match actually means.
An event venue is more than four walls and a screen. The right venue suits the purpose of your event, the atmosphere you want to create, the size of your group and the way you want to work as an organiser. Some venues are for people who want to arrange everything themselves. InnStyle is for people who want everything taken care of, from the first coffee to the moment the last guest drives home.

InnStyle is a full-service event venue at the premium end of the market. That means food and drink taken care of, a dedicated technical partner, an event director on the day and a team that actively helps you shape your programme. For the right group and the right type of event, that's a major advantage. But it also means there are situations where what we offer simply doesn't match what someone is looking for, and that's absolutely fine.

When InnStyle isn't the best choice for a business event venue in Utrecht
Situation 1: you're expecting fewer or more than a certain number of guests
InnStyle has four different reception spaces, ranging from an intimate café to a large foyer for hundreds of guests. That sounds flexible, and it is, but the spaces do have their limits.
Small groups are not always a good fit, especially during peak season. The staffing by an event manager, the catering and the entire venue set-up are geared towards larger groups. If you arrive with ten people during peak season, you are effectively paying for a full-service venue that is too large and too extensive for your needs. That does not feel right for either party.
On the other hand, there are also situations where InnStyle is too small. An exhibition with a hundred stands on one large open floor, or an event with more than 1000 guests for an evening party, requires different spaces from those we can offer.
The rule of thumb: if you are bringing a group of 100 people or more for a full day of events, InnStyle is generally a good fit. Smaller groups can be accommodated during the low season or if the event date is coming up soon, but always check this when you enquire.
Situation 2: you would rather keep it simple - no technical equipment, just a projector and a flip chart
Some organisers are looking for a space where they can simply sit down, give a presentation and then leave. No extensive programme, no impressive technical equipment, just a projector, a flip chart and a few chairs. That is, of course, a perfectly valid choice, but it is not something we do at InnStyle.
InnStyle works with a dedicated technical partner who provides professional audiovisual and lighting systems. This ensures quality: everything works, and if something does unexpectedly go wrong, someone is on hand within three minutes to fix it. A standalone projector that you set up and operate yourself is not reliable enough at peak times.

Situation 3: you are looking for a venue right in the city centre
InnStyle is outside the city, on the shores of the Maarsseveense Plassen. For some organisers, this is a concern during the planning stage: a little harder to reach by public transport, far from the station, and inconvenient for people travelling from further afield.
In practice, however, it almost always turns out to be less of an issue than expected. On request, InnStyle arranges shuttle buses from the station, and it turns out that, on the day itself, often only half of the guests who signed up actually use them. The rest have simply arranged a lift with a colleague or drive themselves. Free parking, electric vehicle charging points and direct access via the main roads make the venue very accessible for most business guests.

If your group is entirely dependent on public transport, for example a government organisation with a strict travel policy, it is certainly worth discussing properly. But for most business events, the location is not a dealbreaker. Just ask about the options when you enquire.
Situation 4: you only want to hold meetings, without breaks or energising activities
At InnStyle, we always offer proactive advice on the programme. That means recommending breaks, suggesting energising activities and sometimes offering alternatives if the agenda is very full.
Why? Because people retain information better when they can move around, recharge or relax for a moment. And because an event where guests mentally switch off halfway through the afternoon is not a success - however beautiful the space is. But not everyone wants this. Some clients want a tightly scheduled agenda, to keep meeting without breaks and then leave. If that is your preference, you will not quite find that approach at InnStyle. InnStyle is about more than hiring out a space: we work with you, ask questions and sometimes recommend something different from what you initially had in mind.
There is a practical side to this too. Serving freshly made coffee to large groups simply takes time. A quarter-hour break with 200 freshly made coffees works differently from a machine where everyone serves themselves. If your programme does not allow time for this, it will inevitably overrun. More unusual orders, such as a decaf latte macchiato or an oat milk cappuccino, take even longer, but a good cup of coffee is always appreciated by your guests.

Situation 5: You want to arrange everything yourself
InnStyle is a full-service venue with regular food suppliers, its own technical equipment, furniture and a dedicated event manager. All these elements are in place because together they deliver a consistent, high-quality experience. We previously wrote this article about taking care of everything for you.
Want to bring your own caterer? Unfortunately, that is not possible. Want different furniture? We will look at what is possible, but we would prefer to discuss it with you first. Want an external DJ, an activity on the terrace or a special installation? That may be possible, but discuss it with us beforehand. Otherwise, you could run into limitations on the day that we could have avoided.
You are welcome to do and arrange plenty of things yourself here, and bring your own creativity to the event. But discuss your plans with us, so we can work with you and make sure they can actually happen. Otherwise, there is a chance that we will have to say on the day of the event: ''sorry, that is not possible.''
There is also a financial argument. If you book a full-service venue but then bring in all your own suppliers, you are paying for a service you barely use. In that case, a venue you can set up entirely yourself is a better fit for what you are looking for.
